What SuiteWorld Revealed About ERP and Why Data Security, Permissions and Audit Trails Matter

NetSuite ERP data security, access permissions and audit trails were among the themes in Annexa’s final recap of SuiteWorld 2026 in Las Vegas. The company examined how AI assistants and agents could change enterprise resource planning (ERP) and the way organisations manage business operations.

The Annexa team spent three days attending keynotes, roadmap sessions and partner discussions, sharing daily updates on the major announcements. As NetSuite’s ANZ Industry Partner of the Year for 2026 and an integration specialist, Annexa examined what these developments mean for organisations across Australia and New Zealand.

AI Access to Enterprise Data Across Connected Systems

Software vendors have traditionally encouraged customers to operate within a single ecosystem. However, Annexa believes SuiteWorld pointed towards a future where businesses use different AI assistants depending on the task, with ERP providing the financial and operational context behind each interaction. Annexa expects organisations to use multiple AI tools and agents across different systems rather than relying on one platform. In this environment, NetSuite would remain the central source of business data and transactions.

AI Agent Autonomy and Transaction Risk

NetSuite outlined a gradual approach to AI adoption during SuiteWorld. Organisations would begin by asking questions, progress to recommendations and guided actions, and introduce greater automation as confidence develops. Annexa expects this pattern to continue over the next two years, with customers remaining particularly cautious about allowing AI agents to execute transactions and make decisions independently.

Human Oversight and Approval Controls

ERP platforms have traditionally required employees to navigate menus, complete forms and process transactions manually. Annexa believes the gradual shift towards AI will change how people interact with these systems. SuiteWorld demonstrated how ERP systems could take greater responsibility for coordinating activities, presenting recommendations and carrying out approved actions.

AI Agents, Accountability and Exception Management

Annexa expects AI agents to perform a growing share of work currently completed through screens and forms by the end of 2027. Employees would increasingly manage exceptions, approve decisions and oversee automated processes rather than execute every step manually. ERP would continue supporting business operations but increasingly operate in the background instead of serving as the interface employees use throughout their working day.

AI Implementation and Data Migration

NetSuite also introduced SuiteExpress, an AI-led implementation toolset designed to capture requirements, migrate data and recommend configurations using customer documents and data. Annexa expects SuiteExpress to change how ERP projects are delivered, with documentation, analysis and configuration becoming faster and increasingly automated.

Data Quality, Governance and Operational Discipline

Annexa believes organisations with strong processes and reliable data may benefit more from AI than those simply adopting the latest tools. Process documentation, data quality, approvals, governance and operational discipline remain central to successful implementation. These foundations cannot be purchased from a vendor.

AI Oversight, Validation and Exception Handling

The biggest change for finance and operations teams is learning to move from performing work to supervising it. Employees have traditionally learned to operate software, follow procedures and process transactions. As AI adoption develops, these responsibilities could increasingly involve defining outcomes, instructing agents, validating results and managing exceptions.

Governance, Audit Trails and Approval Controls

Annexa challenges the assumption that manually processing every transaction provides the strongest control. Instead, effective governance depends on appropriate rules, approvals, audit trails and exception management. Organisations should also examine whether existing processes remain necessary, as Annexa believes eliminating unnecessary steps could deliver greater benefits than simply using AI to complete those steps faster.

Controlled AI Pilots and Risk Management

For CFOs and operations leaders, Annexa recommends treating AI as an operational improvement opportunity rather than a separate technology initiative. Businesses should identify repetitive activities, operational bottlenecks and processes that require employees to move information between spreadsheets, emails and ERP systems. Organisations can then select one or two processes, establish their current costs and run controlled pilots to assess potential improvements.

NetSuite ERP Data Security, Permissions and Approval Processes

Annexa emphasises the importance of preparing business data, permissions and approval processes before expanding AI adoption. AI can automate work quickly, but this is only beneficial when it uses accurate information and appropriate controls. The company believes organisations in Australia and New Zealand can begin preparing before the full range of announced NetSuite capabilities becomes available locally.

Annexa Director Matthew Owens offered the following advice on securing enterprise data and core business platforms:

“Use the next six months to get your house in order. With AI moving this fast, having your core platforms and data organised and secure means you can move quickly and take advantage of the latest models as they arrive, rather than being locked into one. Most teams in Australia and New Zealand are running lean, so that head start is going to be hard for anyone else to catch.”

Annexa is an Oracle NetSuite implementation and AI systems integration partner and NetSuite’s ANZ Industry Partner of the Year for 2026, with offices in Melbourne, Sydney, Brisbane and Auckland. Jarred Spriggs, Matthew Owens, Bart Wadley and Isabel Ford attended SuiteWorld 2026 in Las Vegas.
